Preparing a listing involves several handoffs: arranging photography, confirming the approved description, collecting marketing assets and checking who owes the next response. A shared launch date does not tell the team whether each of those actions has an owner.

Keep a short work register for the launch. Each item should describe an outcome the team can verify, such as “seller approves the selected exterior photographs” or “marketing coordinator confirms receipt of the final floor plan.” Link the item to the listing project and assign the person responsible for the next action.

Give each project its own delivery record

If a team uses Notion for administrative coordination, separate client records from projects and tasks. A client may work with the team on more than one property over time. Keeping each launch in its own project avoids mixing the current checklist with a previous engagement.

A guide to building a connected client project tracker explains how those records can relate to one another. The model uses a shared task database, with each task connected to its project, rather than an isolated task table copied for every client.

Use clear stages for the work: ready to act, waiting for a response, and completed are often more useful than a long list of vague progress labels. Record what the team is waiting for and when someone will review it again. A note that says only “pending” leaves the next person to reconstruct the situation.

Keep the weekly check short

Review the coming week’s commitments and any overdue decisions. Then inspect tasks without dates or project links. These gaps can vanish from a calendar even though the work still exists.

The independent guidance in the NotionSolutions planning library can help teams maintain this register. Use it for the coordination it was designed to support. Signed documents, financial records and transaction requirements belong in the brokerage’s approved systems and procedures.

At launch, record which marketing assets were approved and where the final versions live. That gives the next colleague a useful handoff and keeps an outdated attachment from becoming the default by accident.
